Safeguarding Policy

Oxfordshire HongKongers CIC is committed to creating a safe and inclusive environment for all participants, including children and vulnerable adults, in any activities or programmes organised by our organisation. This safeguarding policy outlines our commitment to protecting the well-being and welfare of all individuals involved, and provides guidelines for preventing and responding to any concerns or incidents related to safeguarding.

1. Purpose

The purpose of this safeguarding policy is to:

• Ensure the safety and protection of children and vulnerable adults participating in our activities.
• Provide clear guidelines and procedures for all staff, volunteers, and participants to follow in relation to safeguarding.
• Promote a culture of vigilance, awareness, and responsibility regarding safeguarding matters within our organisation.

2. Scope

This policy applies to all staff, volunteers, participants, and anyone involved in activities organised by Oxfordshire HongKongers CIC that may have contact with children or vulnerable adults.

3. Definitions

• Child: Refers to any individual under the age of 18.
• Vulnerable adult: Refers to any person aged 18 or over who is or may be in need of community care services by reason of mental or physical disability, age, or illness, and who is or may be unable to take care of themselves or unable to protect themselves against harm or exploitation.

4. Safeguarding Principles

• Every individual has the right to be protected from harm, abuse, neglect, or exploitation.
• Safeguarding is the responsibility of everyone involved in Oxfordshire HongKongers CIC, including staff, volunteers, and participants.
• Prompt and appropriate action will be taken to address any concerns or incidents related to safeguarding.

5. Responsibilities

5.1. Oxfordshire HongKongers CIC will:

• Ensure that all staff and volunteers receive appropriate training on safeguarding procedures and awareness.
• Regularly review and update this safeguarding policy in line with best practices and legal requirements.
• Respond promptly and appropriately to any safeguarding concerns or incidents, including reporting incidents to the relevant authorities if necessary.

5.2. Staff and Volunteers will:

• Treat all individuals with respect, dignity, and fairness.
• Act in accordance with this safeguarding policy and follow all procedures and guidelines outlined.

5.3. Participants and Parents/Guardians will:

• Inform Oxfordshire Hongkongers CIC of any relevant information regarding the well-being and welfare of their child or vulnerable adult. Reporting Procedures
• Any concerns or incidents related to safeguarding should be reported immediately to the designated Safeguarding Officer.
• Reports will be treated seriously, confidentially, and investigated in a timely manner.
• Oxfordshire HongKongers CIC will follow local safeguarding procedures and cooperate fully with relevant authorities as required.

6. Review

This safeguarding policy will be reviewed annually or as needed to ensure it remains relevant and effective.
